Party Terms and Conditions
Party Provider / Organiser
The party provider / organiser is required to read and abide by the information listed in our terms and conditions and the requirements listed below, this includes relaying all relevant details to participants parents and guardians, who are taking part in your birthday / occasion event. Important relevant information: Appropriate riding attire, Hat information, Weather (parties will still take place even in inclement weather), camera / video recording equipment, etc.
Requirements as follows:
Completion of registration forms (one form per person) applicable to all participants who are taking part in the horse riding section, (parent / guardians are required to complete if participant is under 16 years of age).
The party organiser is responsible for providing additional assistance for the full duration of activity, including organising correct handling of food / drink you have provided (if applicable, 2 hour parties only), ensure all participants have washed their hands prior to eating, providing relevant equipment to keep your food at the correct temperature. Glen Jakes Riding School will not be held responsible for any storage / handing of food and drink provided by you.
Additional assistance will be required whilst participants are horse riding (Number of volunteers required will be based on the age and experience of the riders). Volunteers must be over 16 years old, no previous experience is required, this will involve helping to hold and lead ponies around the arena. Relevant information will be provided prior to the start of the riding session via a de-briefing. If additional information is required prior to the arranged party day, either verbally or as a demonstration, we will be more than happy to assist by providing a mini training session (we advise you arrange this at least a week before activity date, so a suitable date and time can be arranged). Suitable clothing and footwear must be worn by all volunteers, see appropriate attire from terms and conditions.
Unfortunately for safety reasons we disallow you to bring / display any of the following items within Glen Jakes grounds: a. Balloons
b. Outdoor Table Cloths
c. Banners
d. Umbrellas
All children who are not taking part in the party / occasion event must be supervised at all times by a responsible adult. We ask all visitors to keep the stable yard clear as much as possible and follow rules on our signs displayed. Signs are displayed around the yard / stable area please take note and abide by for your own safety. Upon arrival / entry to the yard do not approach any horse without being accompanied by a member of staff, this is for your own safety. Additional supervision may be required for the children participating in the party / occasion.
All viewing of parties / activities must be done so via our viewing area / reception therefore keeping our yard area (stables) clear for riders mounting and dismounting. All viewing must be done in a calm manner e.g. No running or shouting.
No alcohol / glass bottles or any such breakable items are allowed on these premises. All catering equipment must be made of unbreakable materials.
Additional details of each participant is required prior to arranged activity date via registration form (verbal or written confirmation must also be given i.e. if any participants have previous riding experience, learning difficulties, allergies or any other significant information which we need to be made aware of which has not been included on the registration form. This enables us to cater to your individual needs. We advise that you get your own additional signed consent from each participant / parent / guardian (if applicable) e.g. their involvement in your birthday / occasion / event, permission for photos to be taken, any other additional information you may need.
Details are required about volunteers who maybe assisting during the horse riding activity i.e. no prior experience / experience (up to what level).
You will be greeted on arrival, where relevant information including health and safety requirements will be provided by the member of staff assisting your group e.g. Bathroom facilities, location of viewing area / reception etc. The procedure of the party will be relayed and a de-briefing of how to assist, you have the opportunity to ask any questions or seek advice from our team.
